Privacy notice

Last updated: 31 October 2026

This notice explains how Mega Motor Repairs Ltd, trading as MegaEV, collects and uses your personal data when you use this website, send us a message, sign up to our offer alerts, or contact us by email or phone. We only collect what we need to help you and your Tesla.

Who we are

Mega Motor Repairs Ltd is the controller of your personal data. We are registered in England and Wales, company number 14456884. Our registered office is Apps Court Farm, Hurst Road, Walton-on-Thames, Surrey, KT12 2EG. We are registered with the Information Commissioner’s Office (ICO) as a data controller.

For any question about your data, email info@megamotorrepairs.co.uk, call 020 8064 3227, or write to us at the address above.

What we collect

  • Contact form: your name, email address, vehicle registration number (so we can look up your vehicle's details), phone number (so we can reach you if there is a typo in your email address), your message, and the service you asked about. If you give a registration number, we add the vehicle details from the official DVSA and DVLA records (see below).
  • Replying to us: when we answer your enquiry, we email you a private link to a page where you can read our reply and write back. You can send us photos and videos of your vehicle there. We remove location (GPS) data and other hidden information (such as the device details) from every photo and video before we store it. Photos and videos we send you are deleted automatically after 7 days, so please download any you want to keep.
  • After your job: if you leave us an email address, we may remind you once if you have not replied to us for a few days, and a day after your invoice we send you one email to ask how we did, with a link to leave a Google review and an invitation to sign up for offer alerts. We do not add you to any list: you only receive offers if you sign up yourself.
  • Offer alerts: your email address, the date and time you signed up and confirmed, and whether you are still subscribed. We keep this as a record of your consent.
  • Emails and phone calls: the details you give us, such as your contact details and information about your vehicle.
  • When we work on your vehicle: vehicle details, the work carried out, quotes, invoices and payment records.
  • Technical data: when you send the form, we use a scrambled (hashed) version of your IP address for up to 10 minutes to stop spam. Our web server also keeps standard access logs, including IP addresses, for security.
  • Website usage, only if you accept analytics cookies: Google Analytics records how the website is used, such as the pages visited, how you arrived (for example from Google or Facebook), your type of device and browser, and your approximate location at town or city level. Google Analytics does not store your full IP address.

Please do not include sensitive information, such as health details or payment card numbers, in the form.

How we use it, and why

  • To reply to your enquiry or prepare a quote. We do this at your request, before any contract (UK GDPR Article 6(1)(b)), and because we have a legitimate interest in answering people who contact us (Article 6(1)(f)).
  • To book and carry out work on your vehicle, and to invoice it. This is necessary to perform our contract with you (Article 6(1)(b)).
  • To email you about our offers, on servicing, tyres, alignment or air conditioning, only if you signed up to our offer alerts and confirmed your address. This is based on your consent (Article 6(1)(a), and the Privacy and Electronic Communications Regulations). You can withdraw it at any time with the unsubscribe link in every email, or by contacting us.
  • To keep accounting and tax records. This is a legal obligation (Article 6(1)(c)).
  • To keep each vehicle’s service history: the work we have done on a car, so that we (and, in future, its owner) can see what was done and when. This is our legitimate interest (Article 6(1)(f)); after the period below, the history is kept without your name or contact details.
  • To keep the website secure and free of spam. This is our legitimate interest (Article 6(1)(f)).
  • To understand how our website is used, and improve it. Only with your consent (Article 6(1)(a)), which you can withdraw at any time.

We only send you marketing emails if you have signed up to our offer alerts. We never use the details from the contact form, a quote or a job for marketing. We do not sell your data, and we do not make automated decisions about you.

Who we share it with

We use a small number of trusted service providers who process data on our behalf and only on our instructions:

  • bluefox.email delivers the emails sent from the contact form (the message to us, and the copy to you), and keeps the offer alerts list and sends its emails. For offer emails, it may record whether an email was opened and which links were clicked, so we can see which offers are useful.
  • Hetzner Online GmbH hosts this website, in Germany.
  • DVSA and DVLA: if you give your vehicle registration number, we look it up in their official vehicle and MOT records, to see the make, model, colour and MOT history of your car before we reply. Only the registration number is sent.
  • Our email and accounting providers store our correspondence and business records.
  • Google Maps: the map on our home page only loads if you click ‘Show map’. Google then receives your IP address and may set cookies, under Google’s privacy policy. We remember your choice in your browser’s local storage, so the map loads straight away on later visits.
  • Google provides Google Analytics, which measures website usage if you accept analytics cookies. Google may process this data in the United States, under the UK’s data bridge with the US.
  • Tragly runs the server that loads Google Analytics for us (Google Tag Manager) and passes the usage data on to Google, only if you accept analytics cookies.

Apart from Google Analytics and the Tragly server that loads it, which only load if you accept them, and the map, which only loads if you click ‘Show map’, this website does not load anything from third-party services: its fonts and images are served from our own website. The links to Google Maps and Facebook only take you to those sites if you click them. Once you are there, their own privacy policies apply.

Some providers may process data outside the UK. When they do, appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement.

How long we keep it

  • Enquiries that do not lead to any work: up to 12 months.
  • Your name, contact details and our messages with you about a job: 6 years after the end of the financial year the job relates to, as required for tax purposes. Then we remove them.
  • The record of the work on the vehicle (its registration, VIN, model, mileage, the work done, the parts and the dates): kept as the vehicle’s service history, without your name or contact details, so that the history stays with the car.
  • Your conversation with us, including the photos and videos you send: for as long as your enquiry or job is open, then as above for enquiries and customer records. Photos and videos we send you: 7 days.
  • Offer alerts: until you unsubscribe. After that, we keep your address only on a ‘do not email’ list, so you are never emailed by mistake. A sign-up that is never confirmed receives no offers, and we delete it within 3 months.
  • Spam protection data: up to 10 minutes. Server access logs: a short period for security.
  • Google Analytics data: 14 months, after which Google deletes it.

Cookies

We only use cookies if you agree. When you first visit, we ask whether you accept Google Analytics cookies:

  • If you accept, Google Analytics sets cookies named _ga and _ga_ followed by our site ID. They last up to 2 years and let us recognise returning visitors, without telling us who you are.
  • If you reject, no analytics cookies are set and Google Analytics does not load at all.

You can change your choice at any time under “Cookie settings” at the bottom of every page. We remember your cookie choice, and your light or dark theme choice, in your browser’s local storage. That information never leaves your device.

If you click ‘Show map’, Google Maps may set its own cookies (see Google Maps above). We do not use advertising or tracking cookies of any other kind.

Your rights

Under UK data protection law, you have the right to:

  • access the personal data we hold about you
  • have it corrected or deleted
  • restrict or object to how we use it
  • receive it in a portable format

To use any of these rights, contact us using the details above. We will reply within one month.

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), at ico.org.uk or on 0303 123 1113.
